The Edit icon is the Pencil on the right hand of the record.

 

Dashboard

This is where you’ll land when you log in to your CloudBaseGA account. The Modules to which you have access are displayed across the screen header and the Notice Board displayed on the right of the screen. My Account on the top right hand corner of the screen provides a Member Snapshot displaying all Member’s transactions and Company Documents.

 

  • User Settings allows members to input and manage their personal data. Address, contact details and expiry dates are only visible to Admin. The member can control whether e-mail and telephone details are available to non-admin members within the Members and Calendar Modules.

 

Members

Booking, Tech Log, Training and Invoicing Modules require members’ data to be available. Enter these as follows:

 

  • Select the Admin module and click Members Admin to list existing members. Member’s records can be edited using the Edit icon.
  • Click Add new member.
  • Enter the new member’s e-mail address and click Search
  • If the member is already recorded on CloudBaseGA, the Members Management page will be opened

   and display the member’s details.

  • If the member is not recorded on CloudBaseGA, the Members Management page will be opened

   for completion. A password will be sent to the member’s e-mail address.

  • Enter First Name, Last Name, Initials, select Gender and Status. Note that these entries are mandatory.
  • Members with Administrator Status automatically have access to all Modules.
  • Non-Members such as Owners and Maintenance Companies can be given access to selected Modules   

   including Invoicing in which case they, with their own CloudBaseGA account, will be able to 

   invoice flights from the CloudBaseGA Flight Log for aircraft to which they have been given access.

   Non-Members are excluded from Club/School communications.

  • Enter personal details as required. These will be listed on the member’s User Settings page.
  • Check the Instructor box if relevant.
  • Check the Engineer box to allow the member to access and edit Aircraft Tech Data setup.
  • Check the relevant boxes to define the Roles the member can sign-off on the Tech Log. Student box must be checked for a member to be enrolled on a training course.
  • Check the relevant boxes to define which aircraft the member can book, enter Tech Logs and access Maintenance information.
  • Check the relevant boxes to define which Main Menu Modules the member can access. 
  • Select which e-mails and messages the member will receive.
  • See the Invoicing article to Setup Member’s Charges.
  • Membership Charge, Membership No., Method of Payment, Category and Dates and Notes may optionally be completed for administrative convenience.
  • Set the Member’s Minimum Account Balance to control charges to account.  
  • Click Save. 
  • Repeat for all members.

 

Company Details

In addition to recording the Company Invoicing details which are covered in the Invoicing article, the Company Details/ Settings page allows:

  • The Company Times zone to be set and whether flight times should be displayed as UTC.
  • The Defect type to be displayed on Aircraft and Tech Log screens.
  • Administrators to be enabled to manage Aircraft Technical Data.
  • Members to update their own personal data on their User Settings page.
  • Members whose membership has expired to automatically de-activated.
  • Instructors to be able to manage their own availability.
  • Custom text to be entered for Booking emails.
  • The Calendar Operating Hours to be set. Note these can be adjusted for defined periods within the Admin System Administration facility.
