Replacing a Manual Flight Log with a Delayed AutoLog record

Controls are identified like this Control Name.

The Edit icon is the Pencil on the right hand of the record.

On rare occasions the uploading of flight records from the AutoLog unit in the aircraft can be delayed by the mobile network. In order to keep the aircraft logs up to date, process the flight invoice and possibly complete a Student Training Record, a Manual Flight Log may be added. 

When the AutoLog record is received the Manual Flight Log must be removed from the Flight Log to avoid duplicating the aircraft hours. 

If the flight has been added to a Tech Log, the manual flight will have to be replaced by the AutoLog flight.

If the flight has been invoiced based on the Manual Flight Log, the invoice record will remain when the Manual Flight Log is deleted and there is no need to re-invoice the flight. However the invoice can be cancelled and the flight re-invoiced based on the AutoLog record if required. 

If a Student Training Record has been recorded based on the Manual Flight Log, it will have to be updated with the AutoLog Flight Log before the Manual Flight Log can be deleted. This may require some detail changes to the flight times on the Training Record.

An automated process has been added to CloudBaseGA to simplify this.

Notification of Duplicates

When an AutoLog flight record is received that is duplicated by a manual flight entry, this will be highlighted for Administrators and the duplicate Flight ID’s identified.

To Replace a Manual Flight Log with the equivalent AutoLog record:

• Move the cursor over the Manual Flight record on the Notification panel and click to open the Edit/Add New Flight Log form for flight.
• Click Replace with AutoLog flight log. A drop down list will be displayed with the duplicated AutoLog Flight Log.
• Select the AutoLog flight log.
• Click Save or Save and Go to Tech Log to complete.

Records are Changed as follows:

Flight Logs

The manual Flight Log is deleted.

Tech Log

The Manual Flight Log selected on the Tech Log is changed to the AutoLog Flight Log.

Invoice

If an invoice was raised for the Manual Flight Log, the Flight ID included on the invoice Description/Reference is changed to the AutoLog Flight Log Flight ID. Note that the invoice record details and valuation remain unchanged. If required the invoice can be Cancelled and the flight Re-Invoiced based on the AutoLog Flight Log.

Student Training Record

The Manual Flight Log selected on the Training Record is changed to the AutoLog Flight Log. Any Set Flight Time entries are updated to reflect the AutoLog Flight Log times. Other exercise time entries i.e Navigation, SSAT and Instruments are unchanged.
